Please note that calls to and from our offices may be recorded, with call recordings retained for up to 12 months unless a longer period is required for legal, regulatory, dispute or security reasons.

Internal Third Parties, including other companies in the Switchshop group acting as joint controllers or processors and providing IT, system administration, reporting, finance, leadership or operational services.
External Third Parties, including service providers, vendors, manufacturers, distributors, payment providers, delivery and logistics providers, licence and support portal operators, fraud prevention providers, analytics and advertising providers, hosting and IT service providers, professional advisers, insurers, HM Revenue & Customs, regulators and other authorities.
Third parties to whom we may choose to sell, transfer or merge parts of our business or assets, or whom we may seek to acquire or merge with. If a change happens to our business, the new owners may use personal data in the same way as set out in this notice.
We require all third parties to respect the security of your personal data and to treat it in accordance with the law. We do not allow third-party service providers acting as processors to use your personal data for their own purposes and only permit them to process personal data for specified purposes and in accordance with our instructions.
7. International transfers
Some of our External Third Parties may be based outside the UK, so their processing of personal data may involve a transfer outside the UK.
Whenever we transfer personal data out of the UK, we ensure that a similar degree of protection is afforded to it by ensuring that at least one appropriate safeguard is implemented, including transfer to a country deemed to provide an adequate level of protection under UK law, use of the UK International Data Transfer Agreement, or use of the UK International Data Transfer Addendum to the European Commission's standard contractual clauses for international transfers. 8. Data security
We have put in place appropriate security measures to prevent personal data from being accidentally lost, used or accessed in an unauthorised way, altered or disclosed. We limit access to personal data to employees, agents, contractors and other third parties who have a business need to know. They will only process personal data on our instructions and they are subject to a duty of confidentiality.
We have put in place procedures to deal with any suspected personal data breach and will notify you and any applicable regulator where we are legally required to do so.
9. Data retention
We will only retain personal data for as long as necessary to fulfil the purposes we collected it for, including satisfying legal, accounting or reporting requirements.
To determine the appropriate retention period, we consider the amount, nature and sensitivity of personal data, the potential risk of harm from unauthorised use or disclosure, the purposes for which we process it, whether we can achieve those purposes through other means, and applicable legal requirements.
By law we have to keep basic information about customers, including Contact, Identity, Financial and Transaction Data, for six years after they cease being customers for tax purposes.
In some circumstances, you can ask us to delete your data. In some circumstances, we may anonymise personal data so it can no longer be associated with you, for research or statistical purposes, in which case we may use this information indefinitely without further notice.

No fee usually required
You will not usually have to pay a fee to access your personal data or to exercise your rights. We may charge a reasonable fee or refuse to comply if your request is clearly unfounded, repetitive or excessive.

We may need to request specific information from you to help us confirm your identity and ensure your right to access personal data or exercise any other right. We may also contact you to ask for further information in relation to your request.
Time limit to respond
We try to respond to all legitimate requests within one month. Occasionally it may take longer than a month if your request is particularly complex or you have made a number of requests. In this case, we will notify you and keep you updated.
